K-2 Decodable Passage Progress Tracker Phonics, Fluency & Comprehension Excel

Description

The problem: most reading trackers blend everything into one score - so a student who reads fast but doesn't understand what they read looks "fine," and a student who is accurate but slow gets overlooked.

Teachers end up rebuilding spreadsheets every time they want to see phonics mastery, fluency, and comprehension separately, and most trackers overwrite each new reading attempt - so there's no record of growth across repeated reads, just a snapshot.

This tracker fixes both problems.

Log every reading attempt - first, second, third read - without ever losing the earlier ones. Enter time, words read, errors, and comprehension answers, and the workbook automatically calculates WCPM, accuracy %, and comprehension % as three separate, honest measures that never get mixed together.

From there, it rolls those logs up automatically:
- Phonics Pattern Progress - mastery by Short Vowels/CVC, Digraphs, Blends, and Advanced patterns
- Fluency & Accuracy - growth from first attempt to latest, per student
- Comprehension - tracked against a target you set, not a one-size-fits-all cutoff
- Student Dashboard - pick a student from a dropdown and see their growth, phonics breakdown, skills to revisit, and a live fluency-over-time chart
- Class Overview - every student's latest results in one table, with a follow-up column for your own judgment calls
- Printable Progress Report - a one-page summary ready for conferences or intervention files

Everything is formula-driven - no manual math, no copy-pasting between sheets. Add a student or a passage once, and the dropdowns and calculations update everywhere.

Who it's for: K-2 teachers, reading interventionists, and literacy specialists using decodable passages for progress monitoring who want a clear, separated picture of why a student is or isn't growing - not just a single number that hides the real story.

WHAT'S INCLUDED (TAB BY TAB)

01 Start Here - what the tracker measures and why phonics, fluency, accuracy, and comprehension are kept separate; formulas in plain language; pattern category definitions; suggested daily/weekly routine.
02 Student Roster - one row per student: ID (auto-generated), name, grade (K/1/2), teacher, start date, notes. Capacity: 30 students. Feeds every other tab.
03 Passage Library - one row per decodable passage: ID (auto-generated), title, grade, phonics pattern, pattern category, word count, comprehension questions available. Capacity: 40 passages.

04 Passage Reading Log (main data-entry tab) - log every attempt, First / Second / Third read, without overwriting an earlier one. Student and passage dropdowns pulled from your roster and library; pattern category auto-fills. WCPM, Accuracy %, and Comprehension % calculate the moment you enter time, errors, and comprehension scores. Errors and self-corrections are tracked separately, with a teacher notes column. 400-row capacity.

05 Phonics Pattern Progress - auto-rolls up every student's accuracy by pattern category, with attempt counts, average accuracy, and a color-coded status per pattern: No Data / Needs Practice / Developing / Mastered.
06 Fluency & Accuracy - first vs. latest WCPM and accuracy per student with growth, plus average self-corrections and best WCPM on record.
07 Comprehension - tracked completely separately from fluency, against an editable comprehension target (not a fixed universal cutoff). Average and latest comprehension % per student with Below Target / On Target status.
08 Student Dashboard - dropdown to pull up any student instantly. Snapshot cards (passages completed, attempts, latest WCPM, accuracy, comprehension), change since first logged attempt, phonics-pattern breakdown, skills to revisit, and a formula-driven fluency-over-time view that works in Excel and Google Sheets.

09 Class Overview - every student's latest results in one table: grade, teacher, most recent assessment date, WCPM, accuracy, comprehension, plus a teacher-editable Follow-Up Needed column (your judgment, not an automatic flag).
10 Printable Progress Report - one-page, print-ready report per student: current snapshot, growth summary, phonics breakdown, most recent reading attempts, and notes. Built for parent conferences and intervention files.

HOW THE MATH WORKS

- WCPM = Correct Words x 60 / Time in seconds
- Accuracy % = Correct Words / Total Words
- Comprehension % = Questions Correct / Questions Total
- Correct Words = Total Words - Errors, worked out per row
- First / Second / Third reads each keep their own row, so growth across repeated reads is never lost
- Growth compares each student's very first logged attempt to their latest

STATUS VALUES (AUTOMATIC)

- No Data: no dated attempt yet for that student and measure
- Needs Practice: pattern accuracy below the practice floor (70%)
- Developing: improving, still short of Mastered
- Mastered: at or above the target for that phonics pattern
- Comprehension reports separately as Below Target / On Target against the target you set
- Status is always written out and color-coded - never colour alone

WHY TEACHERS LOVE IT

- One log. Every tab reads from it, so there is nothing to keep in sync
- Phonics, fluency, accuracy, and comprehension stay honest - a strong fluency score can never hide a comprehension difficulty
- Repeated reads are kept, not overwritten - you can see the warm-up effect of a second and third read
- Editable comprehension target lets you set the bar for your own expectation, not a fixed cutoff
- The Follow-Up Needed column captures your professional judgment, not just automatic flags
- Data meetings get shorter when the dashboard, class overview, and printable report are already made
- Every cell stays editable - no sheet protection, no password, no VBA, works fully offline
